These Terms of Service (“Terms“) govern your access to and use of the websites, applications, and services provided by Greenmor (“Greenmor“, “Greenmor Mail“, “we“, “us“, or “our“) under the brand Greenmor Mail, available at www.greenmormail.com and related sub-domains (collectively, the “Services“). Greenmor is operated and owned by Greenmor, B1/91, Kasturba Nagar, Jaipur 302019, Rajasthan, India.
This page is published in accordance with the provisions of Rule 3(1) of the Information Technology (Intermediaries Guidelines) Rules, 2011, and the Information Technology Act, 2000, that require publishing the rules and regulations, privacy policy, and terms of use for access or usage of the website. By registering for, accessing, or using the Services, you signify your acceptance of these Terms and of our other policies (including our Privacy Policy, Refund & Cancellations Policy, and Anti-Spam Policy), and you create a legally binding agreement to abide by the same. If you do not agree to these Terms, please do not use the Services.

1. Definitions
- “Account” means the account created by you to access and use the Services.
- “Customer”, “you”, “your” means the individual or organisation that registers for or uses the Services.
- “Mailbox” means an individual email address provisioned under your Account and its associated storage.
- “Content” means all data, email, files, documents, contacts, calendar entries, and other material you store, send, or process through the Services.
- “Region” means the geographic hosting location you select for your data, currently India, the European Union, or the United States.
- “Subscription” means the paid plan and billing period you select for the Services.
2. The Services We Provide
Greenmor Mail is a business email and productivity suite. Depending on the plan and add-ons you select, the Services may include:
- Business email hosting on your own domain, with webmail, and standard IMAP, POP3, and SMTP access;
- Calendar, Contacts, and Discussion (internal team messaging) tools;
- GMOffice — online documents, spreadsheets, and PDF editing with real-time collaboration and link sharing;
- Storage for mailboxes and files, subject to your plan quota and optional add-on storage blocks;
- Video conferencing and AI-assisted features where included in your plan or purchased as add-ons;
- Email migration assistance to move existing mail into Greenmor Mail;
- Administration tools for managing domains, mailboxes, aliases, and users; and
- Reseller and white-label capabilities for eligible partners, governed additionally by our Partner Terms.
We may add, modify, or discontinue features from time to time. Some features are provided on a beta or early-access basis and may change or be withdrawn.
3. Data Regions & Residency (India, EU, US)
Greenmor Mail operates infrastructure in multiple regions. At sign-up you may select the Region in which your mailbox and associated data are primarily stored, currently India, the European Union, or the United States. We will use commercially reasonable efforts to keep your primary Content within your selected Region. However, you acknowledge that:
- certain limited metadata, backups, security logs, and administrative data may be processed across Regions to operate, secure, and support the Services;
- email is a store-and-forward technology, and messages you send or receive will transit networks and servers outside your Region as required for delivery; and
- changing your Region after provisioning may require a data migration and is subject to availability.
Our processing of personal data is described in the Privacy Policy.
4. Eligibility & Account Registration
You must be at least 18 years of age (or the age of majority in your jurisdiction) and capable of entering into a binding contract to use the Services. If you use the Services on behalf of an organisation, you represent that you are authorised to bind that organisation to these Terms. You agree to provide accurate, current, and complete registration information and to keep it up to date. We may verify your details and refuse, suspend, or terminate Accounts at our discretion.
5. Account Security & Your Responsibilities
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your Account. You agree to notify us promptly of any unauthorised access or suspected security breach. You are responsible for the acts and omissions of all users you provision under your Account and for ensuring their compliance with these Terms. We strongly recommend enabling available security features such as strong passwords and two-factor authentication.
6. Plans, Trials, Fees & Auto-Renewal
- Trials. We may offer a free trial. Unless you purchase a paid Subscription before the trial ends, your trial Account and its data may be suspended and subsequently deleted in accordance with Section 15.
- Fees. Paid Services are billed in advance for the Subscription period (for example, monthly or annually) at the prices displayed at the time of purchase, including per-mailbox charges and any add-ons (such as additional storage blocks, video conferencing, or AI features).
- Auto-renewal. Subscriptions renew automatically for successive periods of the same length unless cancelled before the renewal date. Where you have authorised a recurring payment mandate, the applicable fees will be charged automatically on each renewal.
- Changes in pricing. We may change prices; changes apply from your next renewal after reasonable notice.
- Non-payment. If payment fails or fees remain unpaid, we may suspend or downgrade your Services and eventually delete data as described in these Terms.
7. Taxes, Invoicing & Currency
Prices are exclusive of taxes unless stated otherwise. You are responsible for all applicable taxes, including Goods and Services Tax (GST) for Indian customers and equivalent indirect taxes in other jurisdictions, which will be added to invoices as required by law. Invoices are issued electronically and made available in your Account. Pricing and billing currency may vary by Region and country. Payments are processed through third-party payment providers, and your use of those services is subject to their terms.
8. Refunds & Cancellation
You may cancel your Subscription at any time from your Account; cancellation stops future renewals but does not, by itself, entitle you to a refund for the current period. Refunds, where available, are governed by our Refund & Cancellations Policy. We do not provide refunds for (i) any unauthorised use of your Account or credits, whether knowingly or unknowingly, or (ii) unused portions of a Subscription upon closure of your Account, except as required by applicable law or expressly stated in the Refund & Cancellations Policy.
9. Acceptable Use
You agree not to use the Services to:
- violate any applicable local, state, national, or international law or regulation;
- infringe the intellectual property, privacy, or other rights of any party;
- store, send, or distribute content that is unlawful, defamatory, obscene, pornographic, harassing, or that promotes violence or discrimination;
- impersonate any person or entity or misrepresent your affiliation;
- distribute malware, phishing content, or engage in fraud, scams, pyramid schemes, or click fraud;
- attempt to gain unauthorised access to, probe, scan, or disrupt any systems, networks, or accounts;
- place an unreasonable load on our infrastructure or interfere with the provision of the Services to others; or
- resell or provide the Services to third parties except under our Partner Terms.
10. Email Sending, Outreach & Anti-Spam
Greenmor Mail supports both day-to-day business correspondence and, where enabled, bulk and outreach email (the “Outreach” facility). Outreach is a permitted but conditional feature: you may send bulk, marketing, cold-outreach, and campaign email through the Services only in compliance with the conditions in this Section and our Anti-Spam Policy. Your use of email, and of Outreach in particular, is subject to the following:
- Bulk & outreach permitted, conditionally. Bulk, promotional, and cold-outreach email is allowed provided you comply with all conditions below and with applicable anti-spam and data-protection laws (including, as applicable, the Indian IT Act and rules, GDPR/PECR in the EU, and CAN-SPAM in the US). Outreach is not a licence to send spam.
- Legitimate basis & permission. You must have a lawful basis or a genuine, relevant business reason to contact each recipient, and must maintain records to support this. You may not email lists that were purchased, rented, scraped, or harvested, or recipients who have no plausible relationship to your offering.
- Opt-out & identification. Every marketing or outreach message must clearly identify you as the sender, include a valid physical or business address where required by law, and provide a working, honoured unsubscribe/opt-out mechanism. You must promptly stop emailing anyone who unsubscribes or objects.
- Honest content. Subject lines, sender names, and headers must not be false, deceptive, or misleading about the origin or content of the message.
- Warm-up, volume & throttling. To protect deliverability and shared infrastructure, we may set, throttle, or adjust sending volumes and rates (particularly for new senders and new Outreach campaigns), and may require gradual warm-up. You agree to send consistent, predictable volumes rather than sudden spikes.
- Reputation thresholds. You must keep bounce rates below 5% and spam-complaint rates below 0.1% (10 in 10,000), and spam-trap hits below 1 in 100,000. These thresholds apply with particular force to Outreach campaigns.
- Monitoring. To prevent abuse and protect deliverability for all users, we may monitor account activity, sending patterns, and email content, both manually and through automated tools.
- Dedicated IPs. Where a dedicated IP is provided, you are responsible for maintaining its reputation. We may route your mail through shared IPs if deliverability issues arise.
- Deliverability. We use commercially reasonable efforts to deliver your email but cannot guarantee delivery for reasons beyond our reasonable control, and are not responsible for delayed or non-delivered messages.
Withdrawal or restriction of Outreach. The Outreach facility is provided at our discretion. If you breach the conditions above or our Anti-Spam Policy, or if your sending harms deliverability, generates excessive complaints, spam-trap hits, or bounces, or otherwise poses a risk to the Services or other users, we may — in addition to our other rights — throttle, suspend, or permanently withdraw the Outreach (bulk-sending) facility from your Account, in whole or in part, with or without prior notice, while otherwise leaving your mailbox and other Services in place. Withdrawal of Outreach for abuse does not entitle you to any refund. We may reinstate the facility once we are satisfied the issues have been resolved.
11. Storage, Usage Limits & Fair Use
Each plan includes a storage quota per mailbox and may include shared storage for files and GMOffice documents. Additional storage may be purchased as add-on blocks. We may set and enforce usage limits (for example, message rates, API limits, or attachment sizes) appropriate to your plan. Storage and bandwidth are provided to support legitimate use of the Services and may not be used as a general-purpose file host, content-delivery network, or backup archive unrelated to your use of the Services. If you reach an applicable limit, we may restrict the corresponding activity until the limit is resolved.
12. Your Content & Intellectual Property
Your Content. You retain all ownership rights in your Content. You grant us a limited, worldwide, non-exclusive licence to host, store, transmit, back up, display, and process your Content solely as necessary to provide, secure, and support the Services and as directed by you (for example, delivering your email or rendering your documents).
Our IP. The Services, including all software, interfaces, and the Greenmor and Greenmor Mail names and logos, are owned by Greenmor or its licensors and are protected by intellectual property laws. Except for the limited right to use the Services under these Terms, no rights are granted to you. You may not copy, modify, reverse-engineer, or create derivative works of the Services except as permitted by law.
13. Service Availability & Maintenance
We strive to keep the Services available and reliable, but we do not guarantee uninterrupted or error-free operation. The Services may be temporarily unavailable due to scheduled maintenance, updates, or factors beyond our reasonable control. Where a specific uptime commitment applies, it will be set out in a separate service level agreement.
14. Suspension & Termination
We may suspend or terminate your Account or access to the Services, in whole or in part, with or without notice, if: (a) you breach these Terms or our policies; (b) your use poses a security, legal, or reputational risk; (c) required by law or a competent authority; or (d) fees remain unpaid. You may terminate by cancelling your Subscription and closing your Account. Termination for breach does not entitle you to a refund of fees paid.
15. Data Retention & Deletion
Upon expiry, cancellation, or termination, your Content may be retained for a limited grace period to allow reactivation or export, after which it will be permanently deleted from active systems and, in due course, from backups. For paid Accounts that lapse, a soft-deletion and retention period (typically up to 60 days, unless a shorter period applies to trials) generally applies before permanent deletion. You are responsible for exporting or backing up your Content before your Account is deleted. We have no obligation to retain Content beyond the applicable period.
16. Third-Party Services
The Services may integrate with or rely on third-party services (such as payment processors, delivery networks, and analytics). We are not responsible for third-party services, and your use of them may be subject to their own terms and privacy policies.
17. Disclaimer of Warranties
To the maximum extent permitted by law, the Services are provided “as is” and “as available”, without warranties of any kind, whether express, implied, or statutory, including any implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement. We do not warrant that the Services will be uninterrupted, secure, or error-free, or that any Content will be free from loss, corruption, or unauthorised access.
18. Limitation of Liability
To the maximum extent permitted by law, Greenmor and its officers, employees, and suppliers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, goodwill, or business, arising out of or relating to the Services or these Terms, even if advised of the possibility of such damages. Our total aggregate liability arising out of or relating to the Services will not exceed the amount you paid to us for the Services during the three (3) months immediately preceding the event giving rise to the claim.
19. Indemnification
You agree to indemnify, defend, and hold harmless Greenmor and its officers, employees, and agents from and against any claims, damages, liabilities, losses, and expenses (including reasonable legal fees) arising out of or related to your Content, your use of the Services, or your breach of these Terms or applicable law.
20. Changes to the Services or Terms
We may modify these Terms at any time by posting the updated version on this page and updating the “Last updated” date. Material changes may be communicated by additional means. Your continued use of the Services after changes take effect constitutes your acceptance of the revised Terms. It is your responsibility to review this page periodically.
21. Governing Law & Dispute Resolution
These Terms are governed by and construed in accordance with the laws of India, without regard to conflict-of-laws principles. Subject to applicable law, the courts at Jaipur, Rajasthan, India shall have exclusive jurisdiction over any dispute arising out of or relating to these Terms or the Services. Nothing in this section affects any mandatory consumer-protection rights available to you under the laws of your country of residence.
